How to Organize Your Business for Success

How much time do you spend each day trying to find the things you need? Where was that article you saw? What happened to that post-it note with your scribbled to-do list? Do you even have a to-do list?

It might not seem like you spend a lot of time looking for these things, but trust me, those minutes add up. In addition to the time, the energy adds up. If you get frustrated because you can’t find the Zoom link for your next meeting, you’re going to go into that meeting frustrated and probably a little embarrassed instead of feeling confident and professional. So, let’s talk about some ways you can get organized so you can be on time and ready for every meeting.

Make a To-Do List

This one seems kind of counterintuitive when it comes to getting more done, but it’s actually really useful. While you do need to spend the time each day or week to write out your to-do list, a) it only takes a few minutes, and b) it allows you to get through that to-do list faster because you have a clear idea of everything that needs to get done and which tasks are higher priority. Just like clearing your desk of extra clutter makes it easier to stay organized and get more done, clearing your mind of mental clutter also makes it easier to focus on the task at hand, allowing you to get more done in less time, and writing down your to-do list is all about clearing that mental clutter. Plus, it feels good when you cross each task off the list.

Color Coding

If you like to use physical binders and file folders, color coding can make finding what you need so much easier, and you can create whatever color-coding system works best for you. I totally LOVE color coding and tend to geek out over it.  All the color adds fun to my days too!

You can use a different color for each client and all the folders for that client can have that color.   Or you can group your clients together and assign each client a color based on the type of client – whether that’s their industry or the products/services you provide for them is entirely up to you.

You can also color code your tasks. Maybe all your client folders are the same color, but within each folder you have tabs of a few different colors and each color represents something different you have to do for that client.

If you prefer to use digital files, you can do a lot of this color coding digitally as well.  Alternatively, you can just make sure you have a separate file for each client and keep those files organized in whatever way works best for you. Play around with whatever technology you’re using to stretch the limits of its capabilities. It doesn’t matter which system you use. What matters is you use a system that works for you.

Get Tech Savvy

I know technology can be intimidating for some people, but you might be amazed at how much easier it can make your life. I use several different software applications to smooth out some of the things I do on a regular basis for my business and it has made all the difference. If you want to know some of the tools and software I use to stay organized each day, you can check out that list and their capabilities here.
